Paying staff in Malaysia is the easy part. The paperwork after it is where small employers get stuck: a payslip that shows the basic salary, the allowances, and the EPF, SOCSO and EIS lines, ending in a net pay figure the worker can actually read. A lot of owners still type this into Word every month, line by line, or skip it entirely and just transfer the money. A proper slip gaji matters because staff ask for it when they apply for a loan, a rental, or a visa, and because it is simply the right record to keep. This guide walks through making one with SlipGaji, a free browser tool, with no signup and nothing to install.
What goes on a Malaysian payslip
Before you open the tool, it helps to know the parts. A clean payslip has earnings on one side and deductions on the other.
- Earnings: basic salary plus any allowances, overtime, or bonus for the period.
- Statutory deductions: EPF (KWSP) taken from the employee, SOCSO and EIS (both via PERKESO), and PCB income tax if the worker is taxable.
- Net pay: gross earnings minus all deductions, which is the amount you actually bank in.
There are two sides to EPF and to SOCSO and EIS. The employee portion comes out of the worker's pay and shows as a deduction. The employer portion is your cost on top and does not reduce the worker's take-home. A good payslip shows the employee deductions clearly and notes the employer contributions separately so nobody confuses the two.
Step 1 — Set your company once
Open the tool and fill in your company name, SSM registration number, phone and address, and upload your logo if you have one. These details save on your own device, so the next time you make a payslip they are already there. You only do this part once. Nothing is uploaded to an account because there is no account to make.
Step 2 — Enter the employee and the pay period
Type the staff member's name, their position, and a staff or IC number if you want it on the slip. Set the pay period, for example June 2026, and the pay date. There is a phone field too, which is used later for the WhatsApp step.
Step 3 — Add the earnings
Start with the basic salary, then add a row for each allowance, overtime, or one-off payment. You can add as many earning lines as the month needs and the gross total adds up as you type. Each row has an EPF tick, on by default. Leave it on for the basic salary and most allowances, and untick EPF on overtime and public-holiday work pay rows, because those are not EPF wages.
Step 4 — Fill in EPF, SOCSO and EIS
This is the part people worry about, so here is exactly how SlipGaji handles each line, honestly.
- EPF fills itself in, following the KWSP Third Schedule wage bands like the official table: the rate is taken on the top of the worker's wage band (RM 20 bands up to RM 5,000, RM 100 bands up to RM 20,000, the actual pay above that), and each share rounds up to the next ringgit. The employee rate starts at 11 percent. The employer rate is automatic: 13 percent when the EPF pay is RM 5,000 or less, 12 percent above. Untick Auto to type your own employer rate, for example in a bonus month when the regular monthly pay is RM 5,000 or less and the employer stays on 13 percent. If a worker is on a different rate, change the percentage. For a foreign worker, tick Foreign worker: EPF is then 2 percent plus 2 percent of the actual pay, with no bands.
- SOCSO and EIS are entered by you as ringgit amounts. SlipGaji does not look these up for you, because both come from the official PERKESO contribution tables, which depend on the wage band and the worker's category. Open the PERKESO table for the employee's salary band, read off the employee and employer figures, and type them into the SOCSO and EIS boxes.
- PCB income tax is also a figure you enter, taken from the LHDN schedule, and is left at zero for staff below the tax threshold.
Every rate and figure on the page is editable. SlipGaji does the arithmetic of building the slip; it does not replace checking the current EPF, PERKESO and LHDN rates, which do change.
If you have other deductions, like a salary advance or unpaid leave, add them as separate rows so the worker can see what each one is.
Step 5 — Download the PDF and send it
The payslip preview updates live as you work, so you see the finished slip gaji before you save anything. When it looks right, tap Download PDF and you get a clean, single-page file named after the staff member and period. There is also a WhatsApp button that opens a chat to the employee with a short message drafted for you. One honest note here: WhatsApp does not let a web page attach a file for you, so you tap to send the message, then attach the downloaded PDF yourself. It is two taps, not one, but it saves typing the message.
What SlipGaji does not do
It is worth being clear so there are no surprises. SlipGaji makes one payslip at a time; it is not a payroll system that stores every employee, runs the whole company at month-end, or files contributions for you. It does not auto-pull the SOCSO, EIS or PCB amounts, and it does not submit anything to KWSP, PERKESO or LHDN. The company details live only on the device you used, so if you switch phones you set them up again. For an owner with a handful of staff who needs a tidy, correct-looking payslip to hand over, that is usually exactly enough.
SlipGaji turns the salary you already know into a proper payslip with EPF, SOCSO and EIS lines and a clear net pay, ready as a PDF to send your staff. It is free to use, needs no signup and no payment, and runs in the browser on your phone or laptop. Open it at slipgaji.red-poetry-f54b.workers.dev and make your first slip gaji in a minute.
